Vivex Flooring ("we", "us") supplies and installs flooring in Canberra. ABN: [to be added]. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles, and we send electronic marketing only in line with the Spam Act 2003.

What we collect

• Contact details you give us in our quote or visualiser forms: name, phone, email, suburb, and any project details.
• Room photos you upload to the flooring visualiser, and the preview images created from them.
• Technical information: the page you came from, campaign tags (e.g. from an ad), your country, and a one-way scrambled (hashed) version of your IP address that we use only to stop spam and limit misuse.

Why we collect it

To reply to your enquiry, prepare a quote, create your visualiser preview, arrange a measure or install, keep business records, and protect the website from spam and abuse.

Your room photos and AI processing

We only process a photo if you tick the consent box. To create your preview, your photo and a picture of the chosen floor from our range are sent to an AI image service (Google Gemini or OpenAI). These providers process data on servers that may be located outside Australia, including the United States, and handle it under their own business terms. The preview is computer-generated: colour, texture and scale are approximate.

Photos and previews are stored privately (not publicly accessible) and kept for up to 12 months, then deleted. You can ask us to delete them sooner at any time.

Our recommendations

The visualiser suggests floors from our own range only. The ranking combines how well the AI thinks a floor suits your room with our own preferences for floors we stock and recommend. It is not an independent or neutral comparison.

Marketing

We only send you flooring ideas or offers if you tick the optional box. Every marketing message identifies us and includes a way to unsubscribe, and we act on unsubscribe requests within five working days. We will still reply to your own enquiry if you don't opt in.

Who we share it with

We don't sell your information. We share it only with service providers that run our website and email (Cloudflare for hosting and storage, Resend for email), the AI service described above, and — only with your agreement — our partner Upmarket Renovations if your project also needs their renovation or fitout services. Some of these providers store data outside Australia.

Cookies

We don't use advertising or tracking cookies. Our spam check (Cloudflare Turnstile) may use technical data needed to tell people from bots.

Access, correction and complaints

You can ask to see, correct or delete the information we hold about you by calling 0404 754 545 or through our contact form. If you're unhappy with how we've handled your information, tell us first; if we can't resolve it, you can contact the Office of the Australian Information Commissioner (oaic.gov.au).
